Our COVID-19 protocols

Before we agree to host a viewing, we will ask you to confirm if you, or the person wishing to view the property:

• is a member of a vulnerable group
• has or has had COVID-19 symptoms and has not yet completed the required period of household self-isolation or is awaiting test results

If the viewing is agreed, you can generally expect:

• to be met outside of the property at a pre-arranged time and location
• to be given access to the property
• to view the property unaccompanied where feasible
• to take responsibility for your own Health and Safety whilst viewing the property
• to be required to always follow all social distancing and PHE protocols whilst viewing the property or in contact with a member of our team
• to continue discussions remotely, once the viewing is completed

Before an inspection or visit

• We may ask you to provide a COVID-19 secure certificate prior to inspection or visiting a site.
• We will ascertain whether or not there are any client/occupier/building manager expectations and/or requirements, e.g. what areas to inspect, what areas are restricted, what PPE is required.
• We will ensure that our obligations in relation to client/occupier confidentiality and GDPR-compliant safe storage of client/consumer information continue to apply, even though some or all staff may be working remotely
• We will check with you whether anyone falls within a vulnerable group, has or has had COVID-19 symptoms, and has not yet completed the required period of household self-isolation, or is awaiting test results.

• We will secure as much information as possible from you prior to the visit and as part of the pre-inspection research, including property use, occupancy, location, potential risk to occupiers and any other relevant information required for the subject property and instruction. This includes carrying out a pre-inspection or visit risk assessment
• We will take all reasonable steps to ensure you are provided with as much information as possible about the visit and service in advance and ensure the service arrangements are agreed by all parties prior to the physical inspection
• We will sanitise equipment in line with current PHG, periodically and as often as practical
• We will minimise physical contact when accessing the property.
• We will ask you to prepare for the inspection and ensure all areas relevant to the service delivered are open or easily accessible (e.g. plant rooms, fire escapes, cellars, lofts, doors, windows) to reduce contact with surfaces as much as possible. Please note that property will be left as presented/found at arrival.

We may ask you to confirm the following:

1. Is the subject property open to access?
2. What social distancing measures will be required for the subject property?
3. What PPE is mandatory for the subject property?
4. Are toilet facilities present and are they available for use?
5. Are there any inaccessible areas or areas of heightened sensitivity?
6. Can you share documents electronically to minimise physical contact?
7. Is the property occupied?
8. Are you aware of any issues in the property? If yes, please specify where.

During an inspection, valuation or visit

If the subject property is occupied, we require that occupiers avoid all physical contact and ensure compliance, at all times, to social distancing measures.

We will:

• adhere to PHE guidelines on cleaning hands thoroughly prior to and upon leaving the property
• ensure face coverings are worn and social distancing requirements are adhered to
• only take the equipment and tools required for the inspection to the property, according to the service being delivered
• aim for as minimal an amount of contact with surfaces when inspecting elements of the property as possible
• ensure we keep a record of the inspection using appropriate recording equipment, including any limitations of the inspection because of the restrictions

After an inspection, valuation or visit we will:

• wash or sanitise our hands thoroughly
• sanitise our equipment
• appropriately dispose of any PPE used in line with government and PHE guidelines
• communicate the outcome/findings of the inspection or visit appropriately with you, as per the instruction and agreed terms of engagement
• deliver our service in line with current RICS standards and guidance
• ensure that any restrictions of information/advice are made clear and stated in the report(s)
• note any limitations to the service delivered because of current social distancing measures and health and safety risks
• where appropriate, highlight to you any risks and hazards found during the inspection

As a client, the information required from you in order for Glenny to undertake a valuation is set out below.

Valuations will only take place once we have received confirmation that:      

1. There are no occupants of the property who have tested positive for Covid-19 in the previous 14 days, or anyone who is self isolating or has any symptoms of Covid-19 (refer to NHS guidance for symptoms)       
2. You will notify us if you, or the person facilitating access or any occupant, works in a clinical or healthcare setting so that we can assess and manage the risk appropriately.
3. There are no occupants who have been advised to shield or who are clinically vulnerableYou will facilitate access to all parts of the property, opening (and leaving open) all doors 
4. You, or those in control of the property have complied with the Governments “Working Safely During Covid-19” guidance and that they have undertaken a risk assessment.https://www.gov.uk/guidance/working-safely-during-coronavirus-covid-19
5. You understand that we will not need to be accompanied during the inspection
6. You and any occupants of the property will respect the 2m social distance guidelines
